IT Procurement and Software Asset Management Specialist

In our Edison, NJ or New York, NY office we are seeking an IT Procurement and SAM Specialist to join our team. The team member will oversee all aspects involved in the procurement and tracking of Information Technology-related components; Software, Hardware, and Services for the Americas IT organization. The Specialist will be responsible for the entire end-to end procurement process and organization of purchasing data to accurately identify patterns that can be targeted for cost optimization. This will require interfacing with vendors (contract terms & conditions, commercials, etc.) and other areas within Arup; i.e. Finance (purchase orders, A/P, etc.), Facilities (shipments, etc.), etc.

 

Roles and Responsibilities:

 

·         Coordinate all procurement activities for the IT organization. Manage the creation of all requisitions and purchase orders as needed

·         Prioritize purchase requests and coordinate logistics with vendors/suppliers to ensure specific delivery dates are met

·         Assist Accounts Payable with the invoicing process for all IT purchases

·         Maintain good working relationship with existing vendors and building strong relationships with new suppliers

·         Coordinate and manage the renewal of all IT related contracts for support, maintenance and services

·         Work with the existing global software asset management team on global process

·         Monitor SNOW license manager including liaising with vendors to understand software license entitlements and to obtain information on license products when any discrepancy is identified.

·         Evaluate and purchase new software request and at the same time providing advice and guidance

·         Interpreting vendor Licensing contracts & statements and provide procurement advice

·         Observe vendor audits and review/report on compliance

·         Review and suggest any process improvements

·         Creation of a comprehensive desktop and server effective license position (ELPs)

·         Produce weekly/monthly reports as appropriate (i.e. Software Compliance Report, etc)

·         Receive and review order confirmations and keep departments informed of delivery dates and shipment tracking for all items

·         Check all IT equipment shipments as they arrive to ensure that orders have been filled correctly

·         Work with IT Leader to create, track and manage IT budgets and to produce budget forecasting reports

 

Required

·         General understanding of IT systems, IT infrastructure components and IT processes; BA/BS degree and at least 4 years of related experience

·         Strong experience in IT procurement practices with additional training and/or certification in procurement or a related field

·         Strong analytical & organizational skills to execute projects within given timeframes

·         Strong sense of urgency, timeliness and strict attention to detail

·         Self-starter who will proactively look to improve processes

·         Excellent written and oral communication skills

·         Exceptional interpersonal skills and ability to work effectively at all organizational levels

·         Highly motivated and disciplined with positive, service oriented attitude

·         Ability to maintain confidentiality with sensitive internal information

·         Advanced MS Excel and proficiency with all MS Office applications
